Venue packs

See what a venue pack looks like

Floor plans, rooms, screens, power, rigging and access in one place, gathered with the venue and kept accurate. The example uses a fictional venue.

Every exhibitor asks the same questions

Once the floor plan is out, the questions start. Where's power available, and how much? What are the loading bay hours? How wide are the doors to the hall? Can we hang a banner above the stand? Is there a screen we can use for our demo?

Multiply that by every exhibitor, contractor and stand builder, and a large part of the organising team's time goes on answering questions whose answers already exist somewhere, if only everyone could see them.

Venue packs with the build detail

For participating venues, BES gathers the detail exhibitions depend on with the venue team: floor plans, capacities, rigging points, screens with their specs and how branding screens are controlled, power, and access, including load-in routes and practical notes.

Venues share packs through a secure link created for a specific request, with an expiry date. As an organiser you can forward that link to contractors and stand builders, so they work from the venue's current facts rather than a forwarded PDF of unknown age. See the example venue pack; the venue in it is fictional. We're onboarding founding venues now, so real coverage is still growing.

Free tools for exhibition teams

Our directory lists tools event teams use for registration, floor planning, attendee and exhibitor communication, and running the show. Each tool has a short write-up so you can compare quickly. It's free to browse, with no account needed.

Suppliers for the build and the show

The supplier directory groups production companies and other specialists by category, which helps when you need AV for a seminar theatre or a partner for a feature area.

Where BES fits in an exhibition timeline

  • Venue selection: compare halls using floor plans, access and power information.
  • Exhibitor manual: base technical sections on the venue's current details.
  • Contractor briefing: share the venue's link rather than attachments.
  • Show days: pick communication and show-running tools from the directory.

Writing the technical section of the exhibitor manual

Exhibitor manuals often reuse last year's technical section, even when the venue has changed something. Before publishing, check power availability, loading and access arrangements, rigging rules and any shared screens against the venue's current information. Where a venue has a BES pack, that check is quicker, because the information is gathered and kept accurate with the venue.

When BES isn't the right fit

BES doesn't sell stand space, manage exhibitor contracts or replace your exhibitor portal. It helps you get the venue facts and tools right.

Questions from exhibition organisers

Can exhibitors and contractors see venue details?

If the venue has a BES pack, the venue can create a secure link for your request, with an expiry date, which you can share with contractors and exhibitors.

Do venue packs include loading and access information?

Yes. Access, including load-in routes and practical notes, is one of the core sections, depending on what the venue provides.

Do packs include power details?

Yes. Venue packs cover what power is available and where.

Is BES free for exhibition organisers?

Yes. Browsing tools, suppliers and venue information is free.

Can a venue we use join?

Yes. Founding venues get their pack free. Point them to our venue page.

Can venue packs help with our exhibitor manual?

Yes. Where a venue has a BES pack, its current power, access, loading and rigging details are a reliable basis for the technical section of your exhibitor manual. Always confirm specific rules, such as rigging permissions or hall curfews, directly with the venue before publishing.
