Floor plans, rooms, screens, power, rigging and access in one place, gathered with the venue and kept accurate. The example uses a fictional venue.
Agency life runs on two speeds. A pitch needs a credible venue shortlist and a concept by Friday. Delivery needs every detail right: the room that really holds 400 for dinner, the screens that will take the content, the rigging that will hold the design, and the access route the set can fit through.
Between those two speeds sits a lot of chasing. Account teams ask venues the same questions for every client, producers re-check the answers, and the information ends up in decks and email threads that nobody can find next time.
For participating venues, BES gathers the practical detail with the venue team and keeps it accurate: floor plans, capacities, rigging points, screen locations with resolutions and specs, branding screens and how they're controlled, power and access.
Venues share packs through a secure link created for a specific request, with an expiry date. For agencies, that's useful twice over: you get current facts for the pitch, and you can pass the link to your production partners for delivery, knowing it won't stay open forever. See the example venue pack; the venue shown is fictional. We're onboarding founding venues now, so real coverage is still growing.
Agencies rarely deliver everything in-house. The BES supplier directory groups production companies and specialists by category, so finding a partner for a new city or a specialist requirement starts from a curated list.
From planning and registration to show running and comms, our tools directory helps account and production teams compare options quickly. Every listing has a short write-up explaining what the tool does and where it fits. It's free to browse without an account, and new tools are added regularly.
If a venue you use often doesn't have a BES pack, tell them about us. Founding venues get their pack free, and once it exists every agency working with that venue starts from the same accurate information. That's less repeated work for the venue's team as well as yours.
Clients often come back with questions after the venue is chosen: can we put our logo on the foyer screens, is there step-free access to the stage for a guest, where can the car for the launch be driven in? With a venue pack link, the account team can often answer on the spot rather than going back to the venue. If the answer isn't in the pack, tell the venue or us so it can be added for next time.
BES isn't a booking or commission platform. We don't take a cut of venue or supplier fees, and we don't provide quotes.
