Venue packs

See what a venue pack looks like

Floor plans, rooms, screens, power, rigging and access in one place, gathered with the venue and kept accurate. The example uses a fictional venue.

Where corporate event planning time really goes

The creative part of a corporate event, such as the theme, the agenda and the moment the CEO walks on, is rarely what fills your week. What fills it is the back-and-forth: getting the venue to confirm capacities for a cabaret layout, finding out whether the ballroom screens are LED or projection, checking the access route for a car reveal, and then explaining all of it again to finance, legal, the exec team and the agency.

Every stakeholder needs a slightly different version of the same facts, and every fact has to be chased first. That's the part Business Event Space is built to shorten.

What you get from BES

Free event tools. A curated directory of planning, registration, agenda, communication and production tools, each with a short write-up so you can see quickly what it does and who it suits. No account needed to browse.

A supplier directory. Agencies, production companies and other specialists grouped by category, so the shortlist starts in the right place.

Venue info packs. For participating venues, BES gathers floor plans, capacities, screens with their specs, rigging, power and access with the venue team, and keeps it accurate. The venue can give you a secure link created for a specific request, with an expiry date, which you can pass to the people who need it. Look at an example venue pack to see the format; the venue in it is fictional. We're onboarding founding venues now, so real coverage is still growing.

Getting stakeholders on the same page

Most corporate events have at least three audiences for venue information: the people approving the budget, the people approving the content, and the suppliers who have to build it. A venue pack link gives them all the same, current facts. Because a link is created for a specific request and expires, you're not leaving a venue's technical detail sitting in inboxes indefinitely.

A simple corporate event workflow

  1. Brief: define format, numbers and must-haves, then browse planning tools to manage the detail.
  2. Venue: where a venue has a BES pack, check rooms, capacities and technical details before the site visit.
  3. Suppliers: shortlist agencies or production partners from the directory and share the venue's link with them.
  4. Delivery: pick registration, comms and run-of-show tools that fit your team's skills.

Budgets and approvals

Corporate event budgets are scrutinised, and surprises tend to arrive late, when a supplier finds the venue's screens won't work for the content or the rigging won't hold the design. Getting accurate venue detail to suppliers before they quote reduces those surprises.

BES doesn't provide quotes, but it does help you hand every supplier the same, current venue facts, so you're comparing like with like.

When BES isn't the right fit

BES doesn't book venues, take payments or run your event. If you want a single company to deliver everything, use the supplier directory to find an agency.

Questions from corporate event planners

Can I share venue information with stakeholders who aren't planners?

Yes. Venue packs are written in plain language, and venues can create a secure link for your request with an expiry date that you can forward.

How are suppliers chosen for the directory?

Suppliers are reviewed by our editorial team and grouped by category. Being listed isn't an endorsement of a specific project, so do your usual due diligence.

Does BES replace a site visit?

No. A venue pack gives you accurate starting information so the site visit can focus on the things only a visit can answer.

Is BES free for corporate teams?

Yes. Browsing tools, suppliers and venue information is free.

What's coming next?

We're expanding venue coverage and adding tools regularly. We'll announce new services on the site as they launch.
