For venue sales and events teams

Answer client tech questions before they ask

Venue sales teams win business on responsiveness. Business Event Space gives you a managed venue info pack and secure, expiring links to send to every enquiry. We do the gathering with your team.

01

Slow technical answers

Chasing ops and AV delays the reply.

02

Competitors reply first

Planners shortlist the venues that answer clearly and quickly.

03

Repeated work

Each proposal rebuilds the same answers.

Venue packs

See what a venue pack looks like

Floor plans, rooms, screens, power, rigging and access in one place, gathered with the venue and kept accurate. The example uses a fictional venue.

Enquiries stall on detail

A promising enquiry comes in. The planner loves the space, then sends a list: capacities for three layouts, the ceiling height, rigging, screen resolution, power, and the load-in route. Your team chases operations and AV for the answers, the reply takes two days, and the planner has already had a full answer from a competitor.

Sales teams aren't short of enthusiasm; they're short of instant, accurate technical answers.

One link with the answers

For founding venues, BES gathers your floor plans, capacities, rigging, screen locations with resolutions and specs, branding screens and how they're controlled, power and access, together with your team. We keep it accurate as things change.

When an enquiry comes in, you send a secure link at a /p/ address instead of an attachment. Links can be created for that request with an expiry date, so you know who has what, and the details don't stay open forever. See the example venue pack; the venue is fictional.

Better for your clients, lighter for your team

  • Planners get a complete, current picture at the first reply.
  • Production teams stop emailing your ops team for the same basics.
  • Your team stops rebuilding the same answers for each proposal.
  • Your pack sits alongside your website and proposals; it doesn't replace them.

Founding venues join free

We're onboarding a group of founding venues now. Founding venues get their pack free while we grow, and event professionals already use Business Event Space for free tools and supplier listings.

Fitting it into your sales process

A venue pack link fits naturally into the steps you already have. Include it in your first reply to an enquiry, add it to proposals, and send it to the production company once the event is confirmed. Because links can be created for a specific request with an expiry date, you can send one per enquiry and know that details won't stay open indefinitely after the client has decided.

If a client asks something the pack doesn't cover, let us know and we'll add it with your team, so the next enquiry gets the answer straight away. Over time the pack reflects exactly what your clients ask.

Questions from venue sales and events teams

Can I make a link for one specific client?

Yes. Links can be created for a specific request with an expiry date.

What happens when a link expires?

The link stops working. You can create a new one if the client needs access again.

How long does setup take for our team?

We do the gathering and organising. Your team shares existing floor plans and tech information and answers questions.

Who updates the pack when something changes?

We update it with you. Let us know about changes like new screens or a refurbished room.

What does it cost?

Founding venues get their venue pack free. Pricing for later venues hasn't been set yet, and we'll be clear about it before anything changes.

Will this work alongside our existing proposal documents?

Yes. A venue pack link sits alongside your proposals, brochures and website. Many teams include the link in their first reply and again in the proposal, so the planner and their production team always have the current technical detail without another email.
